Job Title: Volunteer & Community Engagement Associate

Position Description:
Jewish Family Service (JFS) of Metrowest, based in Framingham, Massachusetts, is a non-profit agency providing vital social, health, and community services to alleviate suffering, enhance lives, and support people in need. The Volunteer & Community Engagement Associate is a mid-level position responsible for the systems, data, documentation, and administrative processes that support volunteer engagement across JFS. The role requires exceptional organization, attention to detail, reliable follow-through, sound judgment, and the interpersonal skills to work warmly and effectively with volunteers, staff, and community partners.
Reporting to the Senior Director Community Engagement and Innovation and working closely with the Senior Director of Philanthropy and program staff across the agency, this position will help ensure that volunteer inquiries, onboarding, screening, records, communications, and ongoing engagement are handled consistently and thoughtfully. Senior leaders retain responsibility for defining and overseeing volunteer work within the agency, while this position maintains the shared infrastructure that supports those relationships.
The articulated job functions below are broken into categories with estimations of overall time spent in each area. Throughout the year, certain categories of work may take priority at different times, leading to more or less time being spent on other job functions. The percentages are an estimation of the year as a whole.
Essential Job Functions:
1. Data Management & Administration (45%) ~
- Maintain accurate, complete, and current volunteer records in Salesforce, including contact information, interests, assignments, activity, communication preferences, documentation status, and the date each volunteer’s status was last confirmed.
- Process volunteer inquiries and maintain the administrative flow from initial interest through onboarding, placement, active service, transition, and offboarding.
- Conduct regular data reviews, identify missing or inconsistent information, reconcile duplicate or outdated records, and support the continued improvement of volunteer reports and dashboards.
- Maintain volunteer forms, lists, schedules, attendance information, training records, and other operational tools needed to support reliable volunteer engagement.
- Monitor required documentation and expiration dates. Coordinate the administrative steps surrounding CORI and RMV screening with the staff members responsible for processing and reviewing those checks, including collecting information, tracking completion, following up, and recording status.
- Handle volunteer information with appropriate care, confidentiality, and attention to agency policies and procedures.
2. Onboarding & Screening Coordination (30%) ~
- Support recruitment for ongoing, episodic, and emerging volunteer opportunities identified by the Senior Director and program staff.
- Respond to prospective volunteers in a timely and welcoming manner, manage interest forms and follow-up steps, and help ensure that each person receives clear information about JFS and available opportunities.
- Schedule and support relational intake conversations, and conduct those conversations when appropriate, in coordination with the Development & Engagement Associate and Senior Director.
- Coordinate the appropriate onboarding and screening pathway based on the responsibilities and level of client interaction associated with each volunteer role.
- Collect required paperwork, track orientation and role-specific training, communicate outstanding steps, and confirm that administrative requirements are complete before placement.
- Work with program leads to support thoughtful volunteer matching. Program staff remain responsible for accepting placements, providing role-specific preparation, and supervising volunteers within their programs.
3. Communications, Development & Operational Support (25%) ~
- Support consistent communication with current and prospective volunteers, including opportunity announcements, newsletters, re-engagement outreach, acknowledgements, recognition, scheduling messages, and follow-up communications.
- Partner with the Development & Engagement Associate, who will increasingly serve as an outward-facing lead for community relationships, events, and engagement activities.
- Coordinate with program leaders, including Immigrant Services staff, to provide data administration, volunteer records, scheduling, and operational support for program-specific initiatives such as the Resource Room and food insecurity projects.
- Provide volunteer registration, recruitment, scheduling, and documentation support for agency events and episodic service projects as needed, without serving as the primary event producer.
- In partnership with the Senior Director of Philanthropy, the Development & Engagement Associate, and other members of the team, provide administrative and coordination support for Tribute Book production, Special Friends tracking, and Seize the Dream restaurant participation, including materials, records, forms, deadlines, follow-up, and related logistics.
- Maintain shared calendars, templates, process notes, training resources, and communications materials so that volunteer systems remain understandable and transferable.
- Identify unanswered inquiries, incomplete processes, approaching deadlines, and other administrative gaps, and take initiative to ensure that appropriate follow-through occurs.

Knowledge, Skills, and Abilities:
- Three to five years of relevant professional experience in nonprofit administration, volunteer engagement, program operations, database management, development operations, human services administration, or a related field.
- Bachelor’s degree preferred; equivalent professional experience will be considered.
- Exceptional organizational skills, attention to detail, personal accountability, and demonstrated ability to follow tasks and processes through to completion.
- Experience working with databases or constituent relationship management systems. Salesforce experience is strongly preferred.
- Comfort working with data, reports, spreadsheets, online forms, shared calendars, and administrative systems, with a commitment to accuracy and data integrity.
- Strong written, verbal, interpersonal, and customer-service skills, with the ability to communicate warmly and professionally with volunteers, colleagues, and community partners.
- A collaborative, team-minded approach and the ability to build productive working relationships across departments while also working independently.
- Ability to manage multiple active processes, deadlines, and follow-up needs in a changing environment.
- Commitment to JFS’s mission and to creating a volunteer experience grounded in dignity, clarity, responsiveness, and meaningful connection.
- Occasional evening or weekend availability for volunteer activities and events.
